Company Description: H.J. Martin and Son is a diversified construction company specializing in commercial & residential flooring, glass & glazing, walls & ceilings, commercial doors & hardware, and millwork & fixture installation.
Project Assistant Position Description: This position performs administrative and office support activities for the National Installation division in Green Bay, WI.
Project Assistant Principal Responsibilities:
- Support our Project Management and nationwide installation teams through constant communication in the following ways
- Before the Project
- Send our bid invites when we are the general contractor, using our subcontractor database
- Complete proposals, letters, and subcontractor agreements
- Verify the proper insurance requirements
- Use our national accounts to rent equipment and dumpsters
- Work with our travel coordinator to forecast travel and hotels
- Send job site, hotel, and logistical information communication to our installation team
- Communicate with our toolroom team to allocate the proper tools and equipment
- Upload the project information in PlanGrid, Procore, or Microsoft One Drive
- Help pull permits, if necessary
- Set up a pre job meeting with our installers to review the customer expectations
- During the Project
- Aid in project billing and approving invoices and credit card receipts
- Contact and coordinate local labor in the areas where we have projects
- Assist in checking over weekly timecards and paperwork
- Process customer and subcontractor change orders
- Coordinate travel during ongoing projects to help our installers be able to travel home to see their families
- After the Project
- Assist with job close-out documents, warranty letters, as-built plans, surveys, and other completion forms
- Complete a post job review with our installers to get their feedback and implement for future jobs
- Before the Project
Other Duties As Assigned: Performs other related duties as assigned including supporting team members in the completion of their work for the purpose of ensuring the efficient and effective functioning of the business.
Experience/Education Required:
- 1-3 years administrative experience in a construction environment or equivalent combination of education and experience, preferred
- Microsoft Office proficiency
- Strong analytical and problem-solving ability
- Exceptional organizational skills
- The ability to multitask in a fast-paced environment
