Company Description: H.J. Martin and Son is a diversified construction company specializing in commercial and residential flooring, glass and glazing, walls and ceilings, commercial doors and hardware, and millwork and fixture installation.

Purchasing Specialist Position Description: This position is responsible for sourcing, negotiating, and procuring materials and services, while ensuring cost efficiency.

Purchasing Specialist Principal Responsibilities:

  • Purchase stock and special order/job-specific materials with suppliers
  • Establish and maintain working relationships with customer service representatives and sales representatives of suppliers
  • Negotiate purchases with vendors as to price, specifications, terms and delivery and stocking agreements
  • Identify potential new suppliers and investigate the same products from different suppliers (best price)
  • Research and address invoice discrepancies and forward to accounts payable for payment
  • Setup new and update vendor information
  • Coordinate with staff for materials shipped directly to job sites for acceptance of delivery and receiving of goods
  • Implement purchasing and contract management instructions, policies, and procedures
  • Order follow up – no confirmation or ETA of orders
  • Monthly, quarterly, and annual rebate data submission
  • Communicate directly with the team regarding procedure changes, special pricing, special discounts
  • Maintain purchasing contacts, fax contacts, customer service reps and vendor website login information
  • Update any training documents with changes in procedures
  • Work with internal team and vendors to collect credits on material returns

Other Duties As Assigned:  Performs other related duties as assigned including supporting team members in the completion of their work for the purpose of ensuring the efficient and effective functioning of the business.

Experience/Education Required:

  • Minimum of three years of experience in purchasing and procurement, preferred
  • Proficiency in using, RFMS Software (preferred), MS Office: Word, Excel, and Outlook
  • Must be able to work in a schedule-driven environment
  • Detail-oriented and possess the ability to multi-task, while meeting tight deadlines under pressure
  • Strong organization, written and verbal communication, analytical and negotiation skills
